POSITION SUMMARY & PURPOSE
The Executive Associate is responsible for managing the affairs of Chief and Council, supervising administrative support personnel and providing administrative support to the Band Administrator.
KEY RESPONSIBILITIES
- Performs all duties and responsibilities in accordance with the Xaxli’p policies, standards, and procedures, and as directed by the Chief and Council and the Administrator.
- Knowledge around Indigenous Government would be an asset.
- Maintains confidentiality, drafts correspondence as directed by the Chief and Council and the Administrator.
- Arrange all travel requirements for the Chief and Council and the submission of applicable claims for reimbursement.
- Provides back-up support for Membership and Fishing Licenses when needed.
MANAGEMENT & ADMINISTRATIVE RESPONSIBILITIES
- Records and distributes minutes of the Chief and Council meetings and Band General Meetings, Administrator’s meetings.
- Develops and maintains a filing system for all Chief and Council correspondence, including resolutions, Minutes, and policies.
- Develops and maintains a filing system for all administration correspondence.
- Ensures administrative support for Chief and Council and the Administrator, including the preparation and distribution of meeting agendas and meeting information packages, the scheduling and notification of meetings and the arrangement of meeting facilities, including Band General meetings.
- Responsible for all correspondence and reception needs such as answering calls/emails on behalf of the Chief and Council, and the Administrator as instructed.
- Performs other duties and responsibilities as assigned by the Chief and Council and Administrator.
QUALIFICATIONS
- Preference given to Xaxli’p member (must have the required qualifications, as defined, for the position)
- Knowledge of the St’at’imc culture
- Experience in governance processes and working with governments.
- Excellent computer technology skills, including hardware and software literacy.
- Excellent oral, written communication and interpersonal skills.
- Management and supervisory experience
- Excellent planning and coordination skills
- Strong teamwork abilities working with integrity, a high degree of work ethic.
- Excellent critical thinking skills
- Pass vulnerable sector criminal record check.
- Valid drivers’ license and reliable vehicle necessary.
WORKING CONDITIONS
Must be able to travel and work flexible hours and days to meet the needs of Xaxli’p Chief and Council and Administration to meet the need of members.
